Who is responsible for your data

Polar Associates AB (org. nr 559273-7943), Stora Gråmunkegränd 3, 111 27 Stockholm, Sweden, is the data controller for the personal data described in this policy. For any privacy question or request, email info@polarassociates.se.

What we collect and why

We only process personal data for the purposes below, under the General Data Protection Regulation (GDPR).

• Contact form and email inquiries: your name and email address, and, if you provide them, your company, subject, and message. We use this to respond to your inquiry and follow up on a potential engagement. Legal basis: our legitimate interest in responding to people who contact us, or steps you ask us to take before entering into a contract (GDPR Article 6(1)(f) and 6(1)(b)).
• Job applications: your CV, cover letter, and any other information you send to recruitment@polarassociates.se. We use this to assess your application. Legal basis: steps taken at your request before entering into an employment contract (GDPR Article 6(1)(b)).
• Website visits: when you load the site, our hosting and font providers receive technical data such as your IP address, browser type, and the page requested. This is necessary to deliver the website securely. Legal basis: our legitimate interest in operating a secure, working website (GDPR Article 6(1)(f)).

Cookies and analytics

This website does not use cookies, analytics, advertising trackers, or social media tracking pixels.

Who we share data with

We use the following service providers, who process personal data on our behalf. We do not sell personal data or share it with third parties for marketing.

• Netlify, Inc. hosts this website and receives contact form submissions.
• Google LLC serves the website fonts through Google Fonts, so your browser sends your IP address to Google when it loads the page.
• Microsoft hosts our email through Microsoft 365.

Transfers outside the EU/EEA

Netlify and Google are based in the United States. Where personal data is transferred outside the EU/EEA, the transfer is covered by the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses.

How long we keep your data

• Inquiries and related correspondence: as long as needed to handle the inquiry and any resulting engagement, and no longer than 24 months after our last contact unless an engagement requires longer retention.
• Job applications: up to 12 months after the recruitment process closes, unless you ask us to delete your application earlier.
• Hosting logs: kept by Netlify for a limited period for security and operations.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing of it, and to receive it in a portable format. To exercise any of these rights, email info@polarassociates.se. We respond within one month.

If you believe we handle your personal data incorrectly, you can lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY) at www.imy.se.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
